Booking & Cancellations Policy

For Regular Bookings:
To confirm your reservation, you are required to make a payment deposit of 50% of your reservation. The 50% balance will be charged to your card 30 days prior to your check-in day. Cancellations made within 24 hours of booking will receive a full refund.
30 days or more before check-in date: loss of your deposit.
29 - 16 days before check in date: loss of your deposit, the remaining 50% balance will be transferred as a credit for a future date, valid for 18 months from original reservation date.
15 days or less, no shows or early check outs: loss of full amount of reservation.
In the case of a Covid-19, or any other pandemic, endemic, virus or disease, or any related travel bans occurring during the Event dates, an 18-month credit note will be issued. All monies received are non-refundable.
If the guests cannot travel and need to cancel due to a Positive Covid-19 Test, or any other virus or travel banning disease, no refund or transfer will be applied. We recommend travelers to be mindful 2 weeks prior to traveling.
If Alaya Panama needs to cancel the reservation for any reason beyond our control. Every effort will be made to refund recoverable costs to the guests. In case of cancellation, Alaya Panama will not be held accountable for any expenses incurred in preparation for the travel such as airline tickets, loss of work, and/or other costs associated with preparing the vacation.
We abide by our cancellation policies and recommend travelers to purchase travel insurance.
(In Accordance to the Event Agreement & Waiver)
To secure the requested Venue and dates, Host requires a non-refundable, non-transferable USD 1,000.00 deposit from the Event Organizer within 15 days of Host receiving the signed agreement.
This deposit must be paid with an accepted credit or debit card,
The other two payments should be payable and delivered to the Host's bank address provided on the contract.
Payment for the Venue is made in three parts:
The USD 1,000.00 non-refundable deposit, done via credit or debit card as defined above.
The second payment of 30% of the grand total is required 90 days prior* to the START DATE of the Event. It must be paid via bank transfer.
The full and final payment of the Event is required 30 days prior** to the START DATE of the Event, paid via bank transfer.
*Failure to meet the 30% second payment deadline will result in an incremental USD 250.00 late payment fee.
**Failure to meet the full and final payment deadline will result in an incremental USD 500.00 late payment fee.
The Event Organizer is responsible for collecting all payments from the Event Participants, Guest Yoga Instructors/ Therapists/Trainers/Teachers or Other. Host cannot be held responsible for any payment arrangements made between the Event Organizer and the Guest Yoga Instructors/Therapists/Trainers/ Teachers or Other.
All payments are in USD and include a 10% Panamanian Government Hotel Tax. The Event Organizer is responsible for paying Host for the Venue and all subsequent deposits or payments.
Should the Event Organizer choose to terminate their Agreement, the initial deposit of USD 1,000.00 is 100% non-refundable and non-transferable.
Cancellations 89 days or less prior to the event start date will result in the loss of 30% payment plus deposit.
Cancellations 29 days or less prior to the retreat start date will result in the loss of the full balance.
Host reserves the right to terminate the Agreement for any reason beyond Host’s control. Every effort will be made to refund recoverable costs to the Event Organizer. In case of cancellation, the Host will not be held accountable for any expenses incurred in preparation for the Event such as airline tickets, loss of work, and/or other costs associated with preparing the Event.
Dis-ease Cancellation Policy
In case of a Covid-19, or any other pandemic, endemic, virus or disease, or any related travel bans occurring during the Event dates, an 18-month credit note will be issued. All monies received are non-refundable. Only one reschedule is allowed.
The credit is valid for 18 months for the rescheduled Event and is non-transferable.
If the Event Organizer or participants cannot travel and need to cancel due to a Positive Covid-19 Test, or any other virus or travel banning disease, no refund or transfer will be applied. We recommend travelers to be mindful 2 weeks prior to traveling.
The Event Organizer waives any and all rights to any legal claims or actions against Host and releases and discharges Host and Host’s heirs, assigns, successors, officers, team members, agents, executors, partners, administrators or any legal representatives along with anyone claiming through them (hereinafter, collectively, the “Released Parties”), in their individual capacity or in their business capacities, of all claims, causes of actions, liabilities, disputes, demands, damages, agreements, contacts, obligations, promises, debts, and /or accounts of any kind or any nature, whether currently known or unknown, for any damages, loss, or injury of or the relating to the rental of the Venue, which the Event Organizer has or ever had or may have in the future against Host or any of the Released Parties.
